Terms of service
Last updated 12 October 2026
These terms are the agreement between you and Readyfile. They explain what Readyfile does, what it costs and what each of us is responsible for. By creating an account or using Readyfile, you agree to them. Please read them with our privacy policy.
About these terms
In these terms, “we”, “us” and “our” mean the operator of Readyfile. “You” means the person who uses Readyfile and, if you use it for a business, that business. If you accept these terms for a business, you confirm you're allowed to.
Nothing in these terms takes away rights you have under the Australian Consumer Law. See “Your rights under the Australian Consumer Law” below.
What Readyfile is
Readyfile is an online service that keeps the registration dates and records of small NDIS providers. You answer a few setup questions about your registration and your business. Readyfile works out the dates that follow from your certificate and the rules, each with its source, and builds a document checklist based on official NDIS sources. For each item you can record whether you have it, its name, a date such as an expiry, where it's kept and your notes. You can also confirm it's your own current document.
Readyfile also lets you read the relevant official standards beside plain English, and on the Pro plan keeps registers and tracks audit findings.
Readyfile is independent. It isn't affiliated with, or endorsed by, the NDIS Quality and Safeguards Commission or the National Disability Insurance Agency.
Not advice
Readyfile gives general information from official sources. It isn't legal, compliance or other professional advice, and it doesn't take your whole situation into account.
Readyfile never says you're compliant, never reviews your documents, and can't predict an audit result or a registration decision. Auditors and the NDIS Quality and Safeguards Commission make those decisions, not us.
Marking an item “I have it” records your own confirmation. It doesn't mean we, or anyone else, have checked the document.
Rules change, and the official sources are the final word. Check them before you act. For advice about your situation, talk to a qualified adviser.
Your account
You must be at least 18 to create an account.
You sign in with a link we email to you. Use an email address you control and keep that email account secure, because anyone who can read your email can sign in as you. Tell us straight away at [email protected] if you think someone else has got into your account.
Keep your setup answers accurate and up to date. Your checklist and reminders depend on them.
If you let someone else use your account for your business, you're responsible for what they do in it.
Free and Pro plans
The free plan includes your dates and the rules behind them, the audit budget, the document checklist, the incident timer, the standards with your own notes, and the evidence index as a CSV.
The Pro plan adds reminder emails and the Monday email, the findings tracker, registers, document uploads, the assistant, auditor links and the evidence zip with your files. Pro costs A$29 a month or A$290 a year.
You can upload PDFs, images, Word and Excel files, and text files, up to 25 MB each.
If your Pro plan ends, your account moves to the free plan and your records stay. Files you've uploaded stay in your account and you can still download or delete them. You can't upload new files, make new auditor links or use the other Pro features. Auditor links you've already made keep working until they expire or you turn them off.
Free trial
Each account can have one 14-day Pro trial. You don't need a card to start it, and nothing is charged during it.
Pro isn't on sale yet, so there is no card to add and nothing to pay. When the trial ends the account moves to the free plan. Everything you've added stays exactly where it is: your answers, your dates, your document entries, your findings, your registers and your notes. Your uploaded files stay too, and you can still open and download them. Auditor links you've already made keep working until they expire or you turn them off.
What stops when a trial ends: reminder emails and the Monday email, new uploads, adding findings and register entries, the assistant, new auditor links and the zip with files. The incident timer and its emails stay free, as they are on the free plan.
You can reserve the founding price on the Plan page. Reserving takes no card, charges nothing and commits you to nothing: it records the plan you would pick and, if you ask for it, one email when Pro opens.
Starting a trial once uses up the account's trial, whether or not it runs to the end. When Pro does open, this section will say how a card is added and when it is charged, and we'll tell you before that applies to you.
Billing and renewal
Stripe handles our payments. Your card details go to Stripe, not to us.
Prices are in Australian dollars and include any GST that applies.
Pro renews automatically at the end of each month or year until you cancel. We charge your card at the start of each new period.
If a payment fails, we'll try again over the following days. If we still can't collect it, your Pro plan ends and your account moves to the free plan.
We may change Pro prices. We'll email you at least 30 days before a new price applies to you, and it will start from your first renewal after that notice. If you don't want to pay it, you can cancel before then.
Cancelling and refunds
You can cancel Pro at any time on the Your details page, under Manage billing, or by emailing [email protected]. There's no cancellation fee.
When you cancel, Pro keeps working until the end of the period you've paid for, and we don't charge you again.
We don't give refunds because you change your mind, or for time you don't use in a period you've paid for. This doesn't affect your rights under the Australian Consumer Law.
If we end your Pro plan or close Readyfile for a reason that isn't your fault, we'll refund the unused part of any period you've paid for.
Deleting your account cancels Pro straight away, and you lose the rest of your paid period. To keep Pro until the period ends, cancel first and delete your account later.
A trial ending is not a cancellation and never deletes anything. See “Free trial” above for what stays and what stops.
While Pro isn't on sale there is nothing to cancel: no card is taken and nothing is charged. Reserving the founding price is not a purchase and you can change or ignore it.
The assistant
The Pro plan includes an assistant, “Ask about this standard”, that answers questions about the official text of the standard you're reading.
It answers only from fixed extracts of official documents. Before an answer is shown, our code checks each quote against the official text. It drops any quote that doesn't match word for word, and holds back an answer with no matching quote left. It's also designed not to tell you whether you comply or will pass an audit.
These checks reduce mistakes but don't remove them. The explanation around the quotes can still be wrong, incomplete or out of date. Treat answers as general information and check the official source before you rely on them.
Your question is sent to Anthropic's Claude API in the United States. Don't include personal information about you, your workers or participants in your questions.
We may set a daily limit on questions, and the assistant may sometimes be unavailable.
Your content
You own what you put into Readyfile: your answers, records and files.
You give us permission to store, copy, process and display your content only as needed to run Readyfile for you. That includes showing it to people you give an auditor link. We don't use your content for anything else.
Readyfile's software, design and wording belong to us. Official extracts belong to their publishers. You can use the lists, indexes and evidence zips Readyfile produces for your own business.
Your responsibilities
You're responsible for what you put into Readyfile. You agree to:
- only upload documents you're entitled to keep and share
- upload only the participant information your audit needs, and remove or cover the rest
- meet your own privacy obligations to your workers and participants
- keep your own copies of important documents
- not upload anything unlawful, or anything designed to cause harm, such as malware
Keep your own copies
Readyfile isn't a backup service. We take care to keep your data safe, but keep your own copies of important documents.
You can download your evidence index as a CSV at any time. On the Pro plan, you can also download a zip with your files.
Auditor links
On the Pro plan you can create read-only links for your auditor. Each link contains a long random code. It expires after 30 days by default and can last no more than 90 days. You can revoke it at any time.
Anyone who has the link can see your business name, the setup answers that decide which documents apply, your evidence index, any register histories and findings you chose to include, and download your uploaded files, while the link is valid. They don't need to sign in. The index shows each item's state, document name, dates, confirmation date and where you keep it, but never your notes, your incident timers or the incidents index.
Share links only with your auditor, using a method you trust, and revoke them when the audit is done. You decide who gets a link. If you think a link has reached the wrong person, revoke it straight away.
Acceptable use
When you use Readyfile, please don't:
- break the law or anyone else's rights
- try to get into other accounts, or get around security or limits
- overload Readyfile or scrape it with automated tools
- copy, resell or rebuild Readyfile
- use the assistant for anything other than questions about the standards
- present anything from Readyfile as approval from us, an auditor or the NDIS Commission
Availability and changes to Readyfile
We aim to keep Readyfile running and your data safe, but we can't promise it will always be available or error-free. It may be down for maintenance, or because of problems with our providers or the internet. We'll try to give notice of planned maintenance that's likely to affect you.
We may improve or change features. If we remove a major Pro feature, we'll tell you first. You can then cancel, and we'll refund the unused part of any period you've paid for.
If we decide to close Readyfile, we'll email you at least 60 days before, so you can download your data. We'll refund the unused part of any period you've paid for.
Privacy and security
We handle personal information as our privacy policy describes.
If we learn of a security incident that affects your data, we'll tell you as soon as we reasonably can, so you can meet your own obligations to the people involved.
Your rights under the Australian Consumer Law
Our services come with guarantees that can't be excluded under the Australian Consumer Law. For example, we must supply them with due care and skill. If we fail to meet a guarantee, you're entitled to a remedy. Depending on the failure, that can include having the problem fixed, cancelling, a refund for the unused part of your subscription, or compensation.
Readyfile is a business service, not the kind usually bought for personal, domestic or household use. So, where the law allows it, our liability for failing to meet a guarantee is limited to supplying the service again or paying the cost of having it supplied again. We won't rely on this limit where it isn't fair or reasonable to do so. It doesn't affect your right to cancel and get a refund for the unused part of a period you've paid for.
Liability
This section is subject to “Your rights under the Australian Consumer Law” above. Nothing in these terms excludes or limits any right or liability that the law says can't be excluded or limited.
Each of us is responsible for loss we cause the other through our own breach of these terms, negligence or other wrongdoing, reduced to the extent the other contributed to it. Where the law allows, neither of us is liable for indirect loss, such as lost profits or lost opportunities.
We're not responsible for audit results or registration decisions. Auditors and the NDIS Quality and Safeguards Commission make those.
There's a cap on what each of us can claim from the other. For all claims connected with Readyfile together, the cap is A$100 or what you paid us in the 12 months before the claim arose, whichever is more. This limit doesn't apply to amounts you owe for your subscription, or to loss caused by fraud or deliberate wrongdoing.
Suspension and termination
You can stop using Readyfile and delete your account at any time.
We may suspend or close your account if you seriously or repeatedly breach these terms, use Readyfile unlawfully, or put Readyfile or other users at risk. Unless it's urgent or the law prevents it, we'll tell you first, explain why and give you a reasonable chance to fix the problem.
If we close your account, we'll give you at least 30 days to download your data, unless the law or a serious security risk prevents it. If we close it for a reason that isn't your fault, we'll refund the unused part of any period you've paid for.
Changes to these terms
We may update these terms when Readyfile, our providers or the law change. The date at the top shows the current version.
If a change could disadvantage you, we'll email you at least 30 days before it takes effect. If you don't agree, you can cancel before then, and we'll refund the unused part of any period you've paid for that runs past the change.
Changes that don't disadvantage you, such as making wording clearer, take effect when we publish them. Changes don't apply to anything that happened before they took effect.
Disputes and governing law
If you have a problem with Readyfile, please email us first at [email protected]. We'll work with you to try to sort it out within 30 days. This doesn't stop either of us going to a court, tribunal or regulator.
These terms are governed by the law of New South Wales, Australia. Either of us can bring proceedings in the courts of New South Wales, or in any other Australian court or tribunal that can hear the matter.
General
If part of these terms can't be enforced, the rest still applies.
If either of us doesn't enforce a right straight away, we haven't given it up.
We may transfer these terms to a new owner of Readyfile, as long as your rights aren't reduced. We'll tell you before that happens.
